Recruitment Privacy Statement WeTravel
WeTravel processes personal data of applicants in a safe and careful manner. We comply with the requirements of the General Data Protection Regulation (AVG). In this statement we set out the working method of WeTravel in this respect.
Why do we have this privacy statement?
At WeTravel, we care deeply about your privacy and want to be transparent about how we handle your personal data during the hiring process. This notice explains what information we collect, how we use it, and with whom we may share it when you apply for a position with us.
Under data protection laws, WeTravel B.V. ("we", "us", or "our") is the data controller—which simply means we're responsible for how your personal data is used and protected.
This notice applies to anyone applying through our careers page, whether or not you move forward in the process. It also applies to any third-party data you might provide to us as part of your application, whether you’re applying directly to WeTravel or through a recruitment partner.

What personal data do we process?
When you apply for a role at WeTravel through our website, you’ll be asked to provide some personal information so we can get to know you and move forward with your application. For example, we may collect:
- Full name
- Phone number
- Email address
- City and country of residence
- LinkedIn profile
- Your résumé
- Your motivation for applying
Since we’ll receive your résumé, we’ll also process any information you’ve included in it, which could include:
- Date and place of birth
- Gender
- Nationality
- Educational background
- Work experience
- Photo and/or video (if included)
If you're invited for an interview, we may also gather and process additional details you share with us, such as:
- Your salary expectations or current compensation
- Notes from our conversations and interviews (which might include your interests, hobbies, motivations, and our impressions during the hiring process)
- Results from any online assessments or test assignments
- Links to relevant online content or social media profiles
If you join the WeTravel team (yay, welcome aboard! 🎉), there are a few extra steps required by law, such as a background check. At that stage, we may collect:
- Your full name and date of birth
- Address and contact information
- A valid form of ID
- A complete résumé
- References
We only ask for what’s necessary to support our hiring process, but if you choose to share additional info, like uploading attachments or connecting a social media profile,we may process that too. It’s always your call to share more than the required details.
How do we process your personal data?
We only use your personal data when we have a valid legal reason to do so. Here’s what that means in practice:
Legitimate interest
We may process your data when it's necessary for a reason that aligns with WeTravel’s legitimate interests, like reviewing and managing your job application. We always make sure our use of your data is fair and doesn’t override your rights.
Legal obligations
Sometimes, we’re required by law to process certain information, for example, in order to meet our obligations under data protection laws or employment regulations.
Your consent (if needed)
In most cases, we won’t need your explicit consent to process your data for recruitment purposes. But if we ever do need your permission, for instance, to collect something beyond the typical scope—we’ll always explain what we’re asking for and why. You’ll have the freedom to decide whether to give your consent, and saying no won’t impact your application or future contract with WeTravel.
Who has access to your personal data at WeTravel?
At WeTravel, we limit access to your personal data to only those who genuinely need it to support your application. This typically includes people directly involved in the hiring process, such as recruiters, HR team members, and the managers or team members who will be interviewing you. They’ll only use your information for recruitment purposes.
Sharing your data outside of WeTravel
In some cases, we may need to share your personal data with trusted third parties. This might happen when:
- It’s necessary to support the recruitment process
- We’re legally required to share certain information
- You’ve given us explicit permission to do so
If we share your information with a third party that’s processing data solely on our behalf, they’ll act as what’s called a data processor. That means they’re only allowed to use your data as instructed by us and solely to provide services to WeTravel. We make sure to have clear agreements in place with these parties to protect your data and prevent misuse.
If we need to transfer your data to a country that doesn’t offer the same level of data protection as the EU or other compliant regions, we’ll take appropriate steps to make sure your data remains secure and protected.
Outside of these situations, we won’t share your personal information unless required by law or unless you’ve given us the go-ahead.
How do we protect your personal data?
At WeTravel, protecting your personal information is a top priority. We use a combination of technical and organizational security measures to keep your data safe and secure.
Access to your personal data is limited to team members and trusted third parties who genuinely need it to support our hiring process. They’ll only handle your data based on our instructions—and they’re all bound by confidentiality obligations to ensure your privacy is respected at every step.
How long do we keep your personal data?
At WeTravel, we only keep your personal data for as long as we need it—either for recruitment purposes or to meet legal requirements.
If your application is unsuccessful, we will hold your data on file for two (2) years after the end of the recruitment process, to the extent necessary for WeTravel to comply with any legal obligations or for the exercise or defense of legal claims (subject to any applicable legal or regulatory obligations to retain such information for a longer period).
You’re always in control of your data, if you’d like us to delete or correct your information, just let us know.
If you're hired (congrats! 🎉), the information you provided during the application process, like your contact details, will be transferred to your employee file and managed in line with our internal People policies.
Your rights
You’re in control of your personal data, and we fully respect your rights. Under certain circumstances, you have the right to:
- Request a copy of the personal data we hold about you
- Ask us to correct or delete your information
- Request that we limit how your data is used—for example, if you want to object to further processing or withdraw your consent
